# Setting Up a Team The Team plan adds an organisational layer above your books. One subscription covers your whole team -- centralised billing, shared books, admin controls, and API access. This guide walks you through getting a team up and running. > [!quote] Built for organisations > A Team means one person pays, everyone gets access, and an admin stays in control. No individual subscriptions to manage. ## Before You Start The Team plan is designed for organisations that need: - **Multiple people** sharing the same contact books - **Centralised billing** rather than individual subscriptions - **Admin controls** -- managing who has access to what - **API access and webhooks** for integrations (optional) If you're an individual or just sharing a book with one or two people, a personal [[Core Concepts/Books|RelayBook]] with members invited may be all you need. ## Step 1: Create Your Team 1. Click the **team icon** in the sidebar, or navigate to the Team section of the app 2. Click **Create Your Team** 3. Enter a team name -- this is visible to all members 4. You become the team **admin** automatically You can create a team from any account. Your existing personal books remain separate unless you assign them to the team. ## Step 2: Invite Your Team Members 1. Go to the **Team Dashboard** and open the **Members** tab 2. Click **Invite Member** 3. Enter their email address 4. They receive an invitation email and can accept immediately > [!note] Members join for free > Invited members don't need their own subscription. The team plan covers everyone. They sign up for a free RelayBook account if they don't have one, then accept the invitation. Team members can be either **admins** or **members**: | Role | What they can do | |------|-----------------| | **Admin** | Invite and remove members, manage books, view billing, access API settings | | **Member** | Access shared team books, view other members | You can change a member's role or remove them at any time from the Members tab. ## Step 3: Set Up Your Team Books Team books are shared with everyone on the team automatically. **To assign an existing book to your team:** 1. Open the **Team Dashboard** and go to the **Books** tab 2. Click **Add Book** and select from your existing books **To create a new team book:** 1. Click **+** in the sidebar as normal 2. In the book creation dialog, assign it to your team Team books appear in every member's sidebar under a **Team** separator, alongside their personal books. Members can view and edit contacts according to the book's role settings. > [!tip] Personal books stay personal > Joining or creating a team doesn't affect your personal books. They remain separate unless you explicitly assign them to the team. ## Step 4: Configure Admin Settings From the **Team Dashboard**, admins have access to: - **Members** -- invite, remove, or change roles for any team member - **Books** -- assign or unassign books from the team - **Billing** -- view your plan, cost breakdown, and payment details - **API & Webhooks** -- generate API keys and configure webhook endpoints for integrations > [!note] Admin-only tabs > Billing and API & Webhooks are only visible to admins. Regular members see Overview, Members, and Books. ## Team Billing The Team plan is billed per seat. The team admin pays -- members don't need their own subscription. To manage billing, go to the **Billing** tab in the Team Dashboard. You can see your current plan, number of seats, and next billing date. ## What Happens When Someone Leaves When you remove a team member: - They immediately lose access to all team books - Their personal books are unaffected - Any contacts they added to team books remain in place > [!success] The Key Idea > A team gives you one subscription that covers everyone, one place to manage access, and shared books that every member can use. When someone joins the team, they're immediately up to speed on every shared contact book.
